Welcome to eaTravel. By booking a trip, using our website, or engaging with our services, you agree to the following Terms and Conditions. Please read them carefully.

1. About Us

Elf and Arrow Travel (Pty) Ltd (eaTravel) provides curated small-group travel experiences across Southern Africa. All bookings and services are subject to availability and these Terms and Conditions.

2. Bookings and Payments

A non-refundable deposit is required to secure your booking.
The remaining balance must be paid by the specified due date prior to departure.
Failure to complete payment on time may result in cancellation of your booking and loss of deposit.
Prices are quoted in South African Rand (ZAR) and may change without prior notice until a booking is confirmed.

3. Cancellations and Refunds

By the Traveller:

Deposits are strictly non-refundable.
Cancellations made after full payment may incur cancellation fees depending on timing and supplier terms.
No refunds will be issued for no-shows or unused portions of the trip.

By eaTravel:

We reserve the right to cancel or reschedule a trip due to insufficient bookings, safety concerns, weather, or circumstances beyond our control.
Where possible, clients will be offered a transfer to another trip or a refund of payments made (excluding non-recoverable third-party costs where applicable).

4. Travel Requirements

Travellers are responsible for ensuring they have valid identification, passports, visas, and any required vaccinations.
It is strongly recommended that all guests obtain comprehensive travel insurance covering medical emergencies, cancellations, and personal belongings.
eaTravel is not liable for denied boarding, entry refusal, or losses arising from incomplete documentation.

5. Health, Safety, and Conduct

Travellers participate in activities at their own risk.
Guests must follow all safety instructions provided by guides and hosts.
eaTravel reserves the right to remove any guest whose behaviour is unsafe, disruptive, or unlawful without refund.
Guests are responsible for disclosing any medical conditions that may affect participation.

6. Changes to Itinerary

While we aim to operate trips as advertised, eaTravel reserves the right to make reasonable changes to itineraries, accommodations, activities, or transport due to weather, supplier availability, safety considerations, or operational needs. Any changes will be communicated where reasonably possible.

7. Self-Drive and Transport

Many eaTravel trips are self-drive unless a shuttle or flights are explicitly included.
Guests choosing self-drive are responsible for their own vehicle, fuel, tolls, and road compliance.
Where transport is included, timings must be strictly adhered to.

8. Limitation of Liability

eaTravel acts as an organiser and intermediary for various third-party suppliers (including accommodation providers, activity operators, and transport services).

To the fullest extent permitted under South African law:

eaTravel shall not be liable for any injury, loss, damage, delay, or inconvenience caused by third-party providers.
Participation in adventure and outdoor activities carries inherent risks, which travellers accept upon booking.
Nothing in these terms excludes rights under the Consumer Protection Act (CPA).

9. Force Majeure

eaTravel shall not be held liable for failure or delay in performance caused by events beyond our reasonable control, including but not limited to:

Extreme weather
Natural disasters
Government restrictions
Pandemics
Civil unrest
Transport disruptions

10. Photography and Media

By joining an eaTravel trip, you consent to the use of photographs and videos taken during the trip for marketing and promotional purposes, unless you notify us in writing prior to departure.

11. Privacy

We respect your privacy and will handle personal information in accordance with the Protection of Personal Information Act (POPIA). Personal data is used solely for booking, communication, and operational purposes.

12. Governing Law

These Terms and Conditions are governed by the laws of the Republic of South Africa. Any disputes shall be subject to the jurisdiction of South African courts.
